UNIT-e Workflow is based on the Microsoft Workflow Foundation and is hosted in SharePoint 2007. Workflow allows users to orchestrate processes such as applications, room booking, enrolment and withdrawal as well as processes which are not specific to the UNIT-e system itself. Workflows can involve people, systems or a mixture of both.
Workflows are generally initiated by an event such as an application form being received, an email or web enquiry being sent or perhaps a date and time being reached. At this point, properties of the event are examined, such as the course applied for. The workflow then proceeds down a branched system of decisions usually asking for user input along the way. For example, an application may need to be supported by an interview. The workflow will know this and one of its first tasks will be to ask someone to arrange an interview by assigning them a ‘task’. Users can see their tasks on SharePoint, in UNIT-e Workplace or via email. When a user completes the task, the workflow moves on to the next step.
UNIT-e Workflow adds new functionality to existing UNIT-e applications to make them ‘workflow aware’. For example, it attaches extra data to each task meaning that once a user opens that task they are presented with a link to launch the correct application to complete the task or to view additional information. Where appropriate the application will even select the right data.
